Studio, route uploads & design data
Here's the complete, unparked Privacy §04.
Policy: Privacy Policy
Chapter: §04 — Studio, route uploads & design data
Studio, route uploads & design data
Your design stays on your own device while you work on it — nothing reaches us until you add it to your cart.
Our Studio lets you upload or use route information, such as GPX, KML, KMZ, Polarsteps, CSV, or other supported files.
While you're designing: everything stays on your device.
When you upload a route file, it's read and processed in your web browser, on your own device. The original file is never sent to us and is never stored on our servers — we can't retrieve, download, or view it, because we simply don't have it.
As you design, your browser automatically saves your work locally so you can pick up where you left off. This uses your browser's own storage (a technology called IndexedDB — not a cookie). It stays on your device, and it is not sent to us.
That local saved design contains only design content: your style, size and orientation choices; the titles, subtitles, and stat labels you've typed; your colors; any markers you've placed and their labels; the simplified route from your uploaded file and its filename; and your map position. It contains no name, no email address, no shipping address, no IP address, and no tracking or analytics identifiers.
Your locally saved design expires after up to 90 days without any edits — each time you edit it, that period starts again. Some browsers (such as Safari) may clear it sooner. If you clear your browser data, it's gone.
When you add a design to your cart: it comes to us.
When you click "Add to cart", your design is sent to us so we can prepare the print file for your poster. What we receive is the same design content described above — still with no name, email address, or contact details attached to it.
Your name, email address, and shipping address are collected separately at checkout, by Shopify — not by our Studio. We don't link your trail and design data to your contact details.
How long we keep design data
- If you don't complete your purchase: we delete the design data 12 months after it was added to your cart.
- If you buy the poster: we keep the design data alongside your order records, so we can produce your poster, support it, reprint it if you ask us to, help you create a new design that matches your existing poster and — if you ever raise a problem with it — check the printed poster against the design you submitted. This means it's kept for as long as we keep the order itself (see section 12). You can ask us to delete it sooner — see below.
Deleting your design data
You can ask us to delete your design data at contact@tellyourtrail.com.
Because we never store your original file and never link design data to your contact details, what's involved is limited to the route line, markers, and poster we created for you.
Please note two things before you ask:
- If we delete your design data, we won't be able to reprint your poster or recreate it.
- While your 2-year legal guarantee is still running, we normally need to keep the design you submitted so we can assess any claim about your poster — including comparing the printed poster with the design you approved. We may therefore keep it until the guarantee period ends, as we're permitted to do where data is needed to establish or defend legal claims. After that, we'll delete it on request.
Your order records (such as your order number, invoice, and transaction details) are kept separately, and we're required by Italian tax and accounting law to retain them — see section 12.
Sensitive route information
Route and location data can sometimes reveal personal details — places you've visited, travel patterns, or the area you live in. We don't ask for sensitive personal information, so please only upload route or location data you're comfortable using for a poster, and leave out anything your design doesn't need.
How we collect personal information
Some information comes from you, some comes from your device, and some comes from the tools we use to run the store.
We collect personal information in three main ways.

Where we rely on consent, you can withdraw that consent at any time.
Where we rely on legitimate interests, we consider whether our interest is balanced against your rights and expectations.
Cookies, analytics & similar technologies
Cookies help our website work — but we only use non-essential cookies with your consent.
We use cookies and similar technologies, such as pixels, tags, local storage, and analytics identifiers.
These may be used to:
- keep the website and checkout working;
- remember your cart, currency, country, or preference settings;
- understand how visitors use the website;
- improve our products and pages;
- measure marketing performance;
- show or measure ads;
- support review, referral, affiliate, or email tools;
- protect the website from fraud or misuse.
Some cookies are strictly necessary for the website and checkout to work, and these don't require consent. All other cookies — such as analytics, advertising, and remarketing cookies — are only used with your consent.
You give or refuse consent through our cookie banner when you first visit, and you can change or withdraw your choices at any time through our cookie settings. Refusing non-essential cookies is as easy as accepting them, and you can choose which categories to allow.
Full details of the specific cookies we use, who sets them, and what they do are in our Cookie Policy.
Marketing emails & advertising
You can unsubscribe from marketing emails at any time.
If you subscribe to our newsletter, join a waitlist, opt in at checkout, or otherwise agree to receive marketing, we may send you emails about Tell Your Trail products, launches, updates, offers, Studio features, stories, or related content.
We may use email marketing tools, such as Klaviyo or similar platforms, to manage our mailing list and email campaigns.
You can unsubscribe from marketing emails at any time by using the unsubscribe link in our emails or by contacting contact@tellyourtrail.com.
We may also use advertising tools, such as Meta, Google, Pinterest, or similar platforms, to measure ads, understand campaign performance, build audiences, or show relevant advertising, where permitted.
Advertising and remarketing tools may use cookies, pixels, hashed contact information, device information, browsing activity, or purchase events, depending on your consent choices and the settings of the relevant platform.
Reviews, photos & customer content
Customer reviews and photos help others understand our products, but we handle personal details carefully.
If you submit a review, testimonial, product photo, feedback, or similar content, we may use it for:
- product pages;
- website content;
- social media;
- email marketing;
- advertising;
- customer support;
- internal quality improvement.
Where possible, we will avoid publishing personal contact details and will usually identify customer feedback by first name, initials, general location, or no name at all.
We will not publish your email address, postal address, payment details, or order number.
If we want to use content in a way that clearly identifies you personally, features your face prominently, or shares a detailed personal story, we will ask for your permission first.
If you send us photos, reviews, testimonials, route information, names, event details, or other content that includes another person, you must have their permission to share it with us and for us to use it as described in this policy and our Terms of Service. If the content includes a child or minor, you must be their parent or legal guardian, or have permission from their parent or legal guardian.
You can contact us at contact@tellyourtrail.com if you have concerns about customer content that appears on our website, social media, or marketing materials.
Who we share personal information with
We share information only where needed to run the store, fulfill orders, provide services, or meet legal obligations.
We may share personal information with trusted third parties who help us operate Tell Your Trail.
These may include:
- ecommerce platform providers, such as Shopify;
- payment providers and checkout providers;
- fraud-prevention and security tools;
- printing, production, and fulfillment partners;
- shipping carriers and delivery services;
- order-management and integration tools;
- email marketing platforms;
- analytics providers;
- advertising platforms;
- review platforms;
- affiliate and referral tools;
- customer support tools;
- website hosting, development, and technical service providers;
- professional advisers, such as accountants, lawyers, tax advisers, or consultants;
- public authorities, tax authorities, regulators, courts, or law enforcement where required by law.
Depending on the service, these third parties may process personal information on our behalf as service providers/processors, or they may act as independent controllers for their own processing.
We only share the information reasonably needed for the relevant purpose.
For example:
- a payment provider needs payment and billing details to process payment;
- a fulfillment partner needs order and shipping details to produce and deliver a poster;
- an email platform needs your email address and subscription preferences to send newsletters;
- an analytics or advertising platform may receive technical or event data where permitted.
We may also share information if necessary to protect our rights, prevent fraud, enforce our Terms, resolve disputes, or comply with legal obligations.
International transfers
We're based in Italy, but some of our tools and fulfillment partners may process personal information in other countries.
Tell Your Trail is based in Italy. However, because we sell worldwide and use international ecommerce, payment, marketing, analytics, fulfillment, shipping, hosting, and technical providers, personal information may sometimes be processed outside Italy and outside the EU/EEA.
This may happen, for example, when:
- our ecommerce platform or apps process data through international systems;
- payment, fraud-prevention, analytics, email marketing, advertising, review, affiliate, or technical providers operate outside the EU/EEA;
- an order is printed, fulfilled, shipped, or delivered outside the EU/EEA;
- customer support, order management, or website tools use global infrastructure.
Where personal information is transferred outside the EU/EEA, we rely on a transfer mechanism that is appropriate for the provider or situation. This may include:
- processing within the EU/EEA where available;
- an adequacy decision, where the destination country or recipient is covered by one;
- the EU–US Data Privacy Framework, where a US provider is certified under it;
- EU Standard Contractual Clauses or equivalent contractual safeguards included in the provider's data processing terms;
- additional technical, contractual, and organizational safeguards where needed;
- limited derogations allowed by data protection law — for example, where a transfer is necessary to fulfill an order for a customer outside the EU/EEA.
Because the rules on international transfers can change, we keep the mechanisms we rely on under review and update them as needed.
For regular service providers — such as ecommerce, payment, analytics, marketing, advertising, fulfillment, hosting, and technical providers — we aim to work with providers that offer appropriate data protection terms. For order-specific fulfillment, your information may need to be shared with production, shipping, customs, or delivery parties in the destination country so your order can be produced and delivered.
You can contact us at contact@tellyourtrail.com if you'd like more information about international transfers relevant to your personal information.
How long we keep personal information
We keep personal information only for as long as we need it — unless the law requires us to keep it longer.
We keep personal information for different periods, depending on the type of information and why we need it.
| Type of information | Typical retention period |
|---|---|
| Order, invoice, payment, and tax records | As long as required for tax, accounting, legal, and business record-keeping |
| Customer support messages | As long as needed to resolve the issue and keep a reasonable support history |
| Studio design data — not purchased | Deleted 12 months after being added to cart |
| Studio design data — purchased | Kept alongside your order records, so we can produce, support, and reprint your poster, help you create a new design that matches it later, and, if needed, assess any claim about your poster (see section 04) |
| Finished poster PDF / print file | Kept with the order records so we can produce, support, correct, or reprint the order, and match any future design to it |
| Marketing email data | Until you unsubscribe, withdraw consent, or we clean inactive records |
| Reviews, photos, and testimonials | Until removed, replaced, or no longer needed, or until you ask us to review or remove them |
| Cookie and analytics data | According to our Cookie Policy, your cookie settings, and each provider's retention settings |
| Fraud, security, and legal records | As long as needed to protect our business, customers, rights, and legal position |
| Birthday (day/month) for marketing | Until you unsubscribe, withdraw consent, ask us to delete it, or we clean inactive marketing records |
If you ask us to delete your personal information, we'll delete or anonymize it where we can. However, we may need to keep certain information where we have a legal obligation or a legitimate reason to do so — for example, tax and accounting records, dispute records, fraud-prevention records, or evidence of consent and its withdrawal.
Italian business and accounting records may need to be kept for up to 10 years, as required under Italian civil and tax law.
Your privacy rights
You can contact us to access, correct, delete, restrict, or object to certain uses of your personal information.
Depending on where you live and which law applies, you may have the right to:
- ask whether we process your personal information;
- access the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete personal information;
- ask us to restrict certain processing;
- object to certain processing;
- withdraw consent where processing is based on consent;
- ask for a copy of certain information in a portable format;
- object to direct marketing;
- lodge a complaint with a data protection authority.
If you are in the EU/EEA, you can contact the data protection authority in your country. As Tell Your Trail is established in Italy, you may also contact the Italian Data Protection Authority, the Garante per la protezione dei dati personali. The Garante is the Italian supervisory authority responsible for monitoring application of the GDPR in Italy.

We may need to verify your identity before responding to certain requests.
Some rights are not absolute. For example, we may need to keep certain information to fulfill an order, comply with tax or accounting obligations, prevent fraud, establish or defend legal claims, or comply with other legal obligations.
Children’s privacy
Our website is not directed at children.
Our website, products, and services are not directed at children.
We do not knowingly collect personal information from children where parental consent is required by law.
If you are under the age of majority in your country of residence, you should use our website, create a design, upload route information, or place an order only with the involvement and permission of a parent or legal guardian.
If you believe a child has provided us with personal information without the required permission, please contact us at contact@tellyourtrail.com and we will review the situation.
In Italy, for online information society services based on consent, children aged 14 or over may consent to the processing of their own personal data; for children under 14, consent must be given by the person with parental responsibility.
Security
We take reasonable steps to protect personal information, but no online system is completely risk-free.
We use reasonable technical and organizational measures to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorized access, disclosure, or misuse.
These measures may include secure ecommerce platforms, access controls, trusted service providers, payment-provider security, encrypted connections where available, and limiting access to information to people and providers who need it.
However, no website, email system, payment system, or online service can be guaranteed to be completely secure.
Please keep your account login details safe and contact us if you believe your information or account has been misused.

Links to other websites are not controlled by us.
Our website may contain links to third-party websites, platforms, social media pages, payment providers, or partner services.
We are not responsible for the privacy practices, content, security, or policies of third-party websites or services.
When you leave our website or use a third-party service, their own privacy policy and terms may apply.
Changes to this policy
We may update this policy when our website, tools, services, or legal requirements change.
